Article 1.

The fair will be held from September 1 to 4, 2026 at the Zetra location (Juan Antonio Samaranch Olympic Hall), Sarajevo, Bosnia and Herzegovina.

Article 2.

The organizer of the Fair is UNIS GROUP doo, headquartered in Sarajevo, Bosnia and Herzegovina. The technical organizer is Altermedia doo, headquartered in Sarajevo, Bosnia and Herzegovina.

Article 3.

The fair is held under the auspices of the Federal Ministry of Energy, Mining and Industry of Bosnia and Herzegovina.

Article 4..

A company registered for the production and/or trade in weapons, equipment and other means of logistical support and complementary activities for national defense industries, which concludes an Exhibition Agreement with the Organizer, has the right to participate in the Fair.

Article 5.

The exhibition program includes everything that domestic regulations define as the production and/or trade of weapons, equipment and other assets within the framework of logistical support and complementary activities.

Article 6.

Exhibitors apply for one of the following exhibition categories: 1) rental of exhibition space without stand construction, 2) rental of indoor arranged exhibition space according to defined packages; 3) rental of outdoor unarranged / arranged exhibition space.

Article 7.

Exhibitors apply for participation by filling out the application form for participation. After completing the application via the official website: unisgroup.ba / bs-ies.ba , the exhibitor will receive:

• Exhibition contract – which defines the obligations of both contracting parties
• Annex 1 “General Rules for Participation in the ''FIRST BALKAN SHIELD – DEFENCE INDUSTRY EXPO AND SUMMIT 2026” – which defines in detail all the regulations of the Fair and the rules for participation in it
• Annex 2 – which lists the contents of the exhibition space, prices, method and deadline for payment

By signing the Exhibition Agreement, Annex 1 and Annex 2, and making the payment within the defined deadline, the Exhibitor confirms that he/she is renting the exhibition space defined in the application and accepts the application form for mandatory registration in the fair catalog, entry on the website and on the USB.

Article 8.

If the space rented by the Exhibitor is used by another company to present its exhibits and personnel, that company shall register as a Co-Exhibitor and submit a separate registration form and pay a registration fee for the mandatory entry in the fair catalogue, USB and entry on the website. Co-exhibitors shall be entitled to entry on the signboard together with the Exhibitor. If the Exhibitor registers a Co-Exhibitor for participation and for entry in the fair catalogue, USB and website, the application must be accompanied by the written consent of the Co-Exhibitor. The Exhibitor has the right to place Co-Exhibitor signs on his own stand only if he has registered these Co-Exhibitors with the Organizer.

Article 9.

The Fair also offers the following optional services: application for the construction and equipping of a standard stand according to the following packages: STANDARD, ADVANCED, PREMIUM and ELITE, rental of space without the construction of an exhibition stand in accordance with the Fair's floor plan, application for the construction of an individual stand to order; application for participation in accompanying programs; application for advertising services; request for additional equipment, etc. Exhibitors are also asked to provide information for the Press Service.

Article 10.

Applications for participation in the Fair are submitted in accordance with the following deadlines:

1. The application deadline for Exhibitors who do not exhibit and who choose one of the 3 defined packages (STANDARD, ADVANCED, PREMIUM and ELITE) is August 1, 2026.
2. The application deadline for Exhibitors from BiH who are exhibiting exhibits and who choose one of the 3 defined packages (STANDARD, ADVANCED, PREMIUM and ELITE) is August 1, 2026.
3. The application deadline for Exhibitors coming from outside BiH and exhibiting exhibits and who choose one of the 3 defined packages (STANDARD, ADVANCED, PREMIUM and ELITE) is 20.07.2026.
4. The application deadline for all Exhibitors (BiH and foreign exhibitors) who are not exhibiting exhibits and who wish to order the design and construction of a stand according to special requirements is July 15, 2026.
5. The application deadline for all Exhibitors (BiH and foreign exhibitors) who are exhibiting exhibits and who wish to order the design and construction of a stand according to special requirements is July 15, 2026.

Article 11.

The distribution of exhibition space, in accordance with the basic classification from Article 6, is carried out by the Organizer based on the concept defined by it, in consultation with the Technical Organizer, and according to the order of exhibitors' applications, i.e. according to the order of signed contracts and receipt of payment for participation in the Fair.

Article 12.

The official Fair catalogue is printed in Bosnian and English, together with the accompanying USB and the official website. Data entry into the catalogue, USB and website is done on the basis of the data specified in the application for the fair catalogue and USB (Form B). Exhibitors are responsible for the accuracy of this data.

Article 13.p>

The Exhibitor is obliged to submit to the Organizer a list of persons, along with a scan of their ID card (in pdf format), a photograph (min. 500px wide) and their personal identification number for citizens of BiH; and if the person is from abroad, it is mandatory to submit a copy and passport number in accordance with the deadlines specified in Article 10 to the following e-mail address: info@bs-ies.ba.

The Organizer has informed the Exhibitor/Co-Exhibitor that, in accordance with the Law on the Protection of Personal Data ("Official Gazette of BiH", No. 12/25), the Organizer processes the personal data of the signatories of this document contained in the presented identification documents solely for the purpose of concluding the Agreement on exhibiting at the FIRST BALKAN SHIELD – DEFENCE INDUSTRY EXPO AND SUMMIT 2026 fair, and fulfilling the Organizer's legally prescribed obligations. The processing of personal data is based on the legal obligation and identification of the Exhibitor/Co-Exhibitor. The signatories declare that they are familiar with the purpose and scope of personal data processing, that they agree to their use for the stated purposes, and confirm this by their signature on this document.

Article 14.

Firearms on display must not have a firing pin or charge, and ammunition, rockets and mines must not have an explosive charge, nor must they in any way endanger general safety. Firearms displayed to visitors must be specially protected and connected with a fixed steel wire. All exhibits must be without ammunition and must not be ready for use and must not endanger general safety. Any demonstration of the movement of combat vehicles or mobile platforms on such vehicles is prohibited without prior notice to the Organizer.

Article 15.

The expert team organized by the Technical Organizer will check whether the Exhibitor has fulfilled all the safety measures prescribed by law and these rules, and will approve his participation before the official opening of the event. The exhibitor will remove all irregularities indicated by the expert team before the opening of the event and inform the Expert Team about this via the following e-mail address: info@bs-ies.ba

Article 16.

The exhibitor is obliged to inform its visitors and guests that registration at the registration desk is mandatory for each visitor to their exhibition space, where each visitor will receive an accreditation with a visible VISITOR mark. The pass is valid for the entire duration of the fair. The exhibitor is obliged to submit a consolidated table with data on all persons attending the event (including the exhibition and conference parts of the fair), which will include the names and ID card numbers for domestic visitors, and the names and passport numbers for visitors from abroad. The exhibitor is obliged to submit the information from Article 16 via the following e-mail address: info@bs-ies.ba no later than 15.08.2026.

Article 17.

The Exhibitor shall submit to the Technical Organizer a list of all exhibited weapons, including the following data: type, model, serial number, quantity, packing list and estimate, and classification according to the Common List of Weapons and Military Equipment and/or the List of Special and Dual-Use Goods, with the obligatory indication that the exhibited weapon (exhibit) is disabled and inert. It shall also appoint a person in charge of the display, with whom the handover will be carried out before the opening day of the exhibition and after its closing. The list defined by this article shall be submitted in the form of a pdf. document and excl table to the following e-mail address: info@bs-ies.ba.

Article 18.

During the event, any removal or introduction of exhibits/weapons is prohibited, including all relevant data, which will be submitted to the Organizer for approval and to the security personnel engaged.

Article 19.

Services are charged according to the price list of the Fair based on the selected service specified in the application form and in Annex 2.

Exhibitors are required to respect the opening and closing dates of the fair, and the Technical Organizer is required to arrange for their exhibits to be brought into the hall and placed in the exhibition area by the closing date of the fair, or in accordance with the exhibitor's request.

Article 20.

After receiving the proper application, the organizer will issue a proforma invoice, which the Exhibitor is obliged to pay in full according to the deadline from the proforma invoice, i.e. within 3 days of receiving it. Payment transaction costs are borne by the Exhibitor. Exhibitors from BiH pay the amount from the invoice in KM, and foreign Exhibitors in €. The organizer reserves the right, in case of EUR inflation, to correct the prices.

Article 21.

Exhibits and other property of the Exhibitor should be covered by an insurance policy and insured against theft, damage, etc.

Insurance of exhibits and other Exhibitor property covers the period from unloading of goods at the Fair, assembly, duration of the event and disassembly, up to loading of goods into a transport vehicle when leaving the fair area.

Exhibitors can insure their exhibits through the Organizer's official partner or with a domestic/foreign insurance company in the country or abroad.

Any responsibility for damage to exhibits and/or other property of the Exhibitor, if such exhibits or property are not insured in the previously prescribed manner, is fully borne by the Exhibitor.

Article 22.

In the event of a dispute, the contracting parties agree that the dispute shall be resolved by the Municipal Court in Sarajevo.

Article 23.

An integral part of the Exhibition Agreement are these General Rules for Participation in the Fair (Annex 1), along with the Conditions and Contents of the Exhibition Space, Prices, Method and Deadline for Payment (Annex 2).
